By registering your school or using the School Management System (“Service”), you agree to these Terms and Conditions. Please read them carefully.

1. Acceptance

By submitting a school registration form or otherwise using the Service, you confirm that you have read, understood, and agree to be bound by these Terms and our Privacy Policy.

2. Description of Service

The School Management System provides schools with software for managing fees, students, staff, academics, transport, hostels, library, events, and related operations. Parents can pay fees and view information through the web and mobile app.

3. Registration and Account

You must provide accurate and complete information when registering. We may approve or reject registration requests at our discretion. You are responsible for keeping your account credentials secure and for all activity under your account.

4. Fees and Payment

The platform fee described above applies to payments processed through the system. We may change the fee or payment terms with reasonable notice. Continued use after changes constitutes acceptance.

5. Subscription Plans

Schools may alternatively access the platform on a fixed-price subscription. The following applies to subscription billing:

• Packages: We offer tiered subscription packages (e.g. Basic, Standard, Premium) at published monthly or annual prices. Package features and prices are shown on the subscription page and on the school registration form.
• Billing cycles: You may choose Monthly (1 month), Semi-Annual (6 months), or Annual (12 months) billing. Annual billing carries a discount as shown in the package details.
• Control Number (Payment Reference): When you select a subscription package, the system generates a unique payment control number for your school. This control number identifies your payment and must be used as the payment reference when transferring funds via mobile money or bank transfer.
• Automatic Activation: Once payment is confirmed against your control number, the system activates your subscription immediately and automatically. Access is granted for the duration of the billing cycle selected at the time of payment.
• Renewal: Subscriptions are not renewed automatically. You must make a new payment before your current subscription expires. The system will send a reminder before expiry. If a subscription lapses, access to the platform will be suspended until a new payment is made.
• No Refunds: Payments made against a control number are non-refundable once the subscription has been activated. If you believe a payment was made in error, contact us within 48 hours.
• Switching Plans: You may submit a request to change your package. Changes take effect at the start of the next billing period. No credit is issued for unused time on the current subscription.
• Control Number Validity: Unpaid control numbers expire after 72 hours. A new control number can be generated at any time by visiting the subscription page while logged in.

6. Acceptable Use

You agree to use the Service only for lawful purposes and in accordance with these Terms. You must not misuse the system, attempt to circumvent security, or use it in any way that could harm the Service or other users.

7. Data and Privacy

Your use of the Service is also governed by our Privacy Policy, which describes how we collect, use, and protect personal and school data.

8. Limitation of Liability

To the extent permitted by law, the Service is provided “as is.” We do not guarantee uninterrupted or error-free operation. Our liability for any claim arising from your use of the Service is limited as permitted under applicable law.

9. Changes

We may update these Terms from time to time. We will post the updated Terms on this page and indicate the date of the last update. Your continued use of the Service after changes constitutes acceptance of the revised Terms.
