We collect information that you provide when registering your school, creating accounts, or using the Service, including:
- School and contact details (name, address, email, phone, bank details for fee collection)
- Staff, student, and parent information that schools or users enter into the system
- Payment and transaction data necessary to process fees and apply the platform fee
- Usage data (e.g. login times, features used) to operate and improve the Service
2. How We Use Information
We use the information to provide, operate, and improve the Service; to process payments and apply the agreed platform fee; to communicate with you; and to comply with legal obligations.
3. Subscription and Payment Data
If your school is on a subscription plan, we collect and process additional payment-related information:
- Control numbers: We generate and store unique payment control numbers linked to your school and selected package. These are used solely to identify and confirm your subscription payment.
- Payment confirmation: When payment is received, we record the amount, date, control number, billing cycle, and the resulting subscription period. This is retained for billing history and audit purposes.
- Bank/mobile money reference: We do not store your full banking credentials. We only record the reference number and confirmation data provided by the payment gateway or webhook notification to verify your payment.
- Billing history: A history of your subscription payments (package, amount, dates, status) is accessible from your school dashboard. This data is retained for the lifetime of your account.
- Notifications: Your registered email and in-app notifications are used to notify you of payment confirmation, subscription expiry reminders, and activation status. We do not share this information with third parties for marketing.
4. Data Sharing
We do not sell your personal data. We may share data with service providers who help us run the platform (e.g. hosting, payment processing), subject to confidentiality and security obligations. We may disclose data when required by law.
5. Security
We use reasonable technical and organisational measures to protect your data against unauthorised access, loss, or misuse.
6. Data Retention
We retain data for as long as needed to provide the Service and as required by law. The system is designed to retain school and payment data for the long term as described in our documentation.
